Master Data Management – Assistant Manager

Job Description

We are looking for an experienced Master Data Management – Assistant Manager with 7–10 years of experience in HR Operations, Payroll Operations, or Order Management. The role will be responsible for accurate and timely maintenance of employee master data across HR, payroll, timekeeping, and benefits systems while ensuring data integrity, compliance, and seamless employee lifecycle management.

The candidate will manage employee master data changes, lifecycle transactions, data reconciliation, reporting, audits, and compliance reviews. The role requires close collaboration with Payroll, Benefits, IT, and HR Business Partners to ensure accurate processing and resolution of data-related issues across systems such as ADX, WinTeam, and LISA or similar platforms.

Key Responsibilities

Maintain and update employee master data, including:
- Cost center and compensation updates
- Pay changes and pay rate adjustments
- Union code, office location, supervisor, and job title changes
- Promotions, demotions, job changes, and employee transfers
- Primary job number changes across same and cross-location transfers
Review and process new hire records and promotion validations.
Process employee lifecycle transactions, including:
- Leave of Absence (LOA) and returns from LOA
- Return of Equity (ROE)
- Employee terminations
- Reactivations and employee status changes
Manage subcontractor records and personal action requests.
Prepare and analyze fallout reports between ADX, WinTeam, and LISA where applicable.
Perform manual data entry and corrections for identified data fallouts.
Reconcile payroll, HR, and benefits-related data to prevent downstream issues.
Conduct periodic and ad-hoc reviews, including anniversary bonus reviews, pay rate reviews, and job data audits.
Ensure benefits-impacting changes related to union codes are accurately processed.
Ensure employee data complies with labor laws, union agreements, and organizational policies.
Process and validate employee personal information changes, including:
- Address, email, and phone number updates
- Direct deposit and banking information
- Social Insurance Number (SIN) updates
Raise and manage IT service tickets related to employee data and system access dependencies.
Collaborate with Payroll, Benefits, HR Business Partners, and IT teams for seamless processing.

Required Skills & Competencies

Strong understanding of HR Operations and employee lifecycle management
Knowledge of payroll inputs and payroll operations
Experience with HRIS, payroll, and timekeeping systems
Experience with ADX, WinTeam, LISA, or similar platforms
Strong analytical and data reconciliation skills
Good understanding of employee master data management
Strong attention to data accuracy, compliance, and process adherence

Preferred Qualifications

Bachelor’s degree in Human Resources, Business Administration, Commerce, or a related field
7–10 years of experience in HR Operations, Payroll Operations, or Order Management
