Onboarding Specialist – Pre-Hire Process Specialist
Location: Mumbai (Olympus) / Bangalore (Think Campus)
Shift: Night Shift – 6:00 PM to 4:00 AM / 7:00 PM to 5:00 AM IST
Experience: 3–6 Years
Job Summary
We are looking for an experienced Onboarding Specialist – Pre-Hire Process Specialist to manage and coordinate end-to-end pre-hire and onboarding activities for new employees. The role will act as a key point of contact for candidates during the onboarding phase and will coordinate with recruiters, hiring managers, and business teams to ensure a smooth and seamless transition into the organization.
Key Responsibilities
Serve as the primary point of contact for candidates during the pre-hire and onboarding process.
Coordinate end-to-end onboarding activities, including pre-boarding, start-date confirmation, orientation, and Day 1 activities.
Send welcome and onboarding communications to new hires.
Select appropriate background verification packages based on job code, location, and business requirements.
Initiate and monitor required drug testing processes.
Review background check and drug test results and provide clearance as per process guidelines.
Schedule employee start dates and select appropriate onboarding events in My Learning.
Update candidate profiles in Workday and move candidates to the Ready for Hire stage.
Send Day 1 communications to candidates, hiring managers, and recruiters with reporting, badging, I-9, orientation, and other required instructions.
Coordinate with Talent Acquisition Advisors, Hiring Managers, and business teams to resolve onboarding-related queries.
Maintain accurate onboarding records, checklists, trackers, and reports in HR systems.
Ensure all onboarding activities are completed accurately and within defined timelines.
Support global and regional onboarding programs and process improvement initiatives.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
3–6 years of experience in candidate onboarding or pre-hire processes.
International onboarding experience is required; US onboarding experience is preferred.
Experience working with HRIS systems such as Workday, SAP SuccessFactors, or BambooHR is an advantage.
Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications
Experience in a Shared Services / Global Business Services (GBS) environment.
Familiarity with onboarding automation tools and platforms.
Understanding of US employment laws, compliance, and onboarding requirements.
Experience supporting international or global employee onboarding processes.
Strong ability to manage multiple priorities in a fast-paced environment.
