Role Overview
We are seeking an organized and proactive Asset Coordinator to support our AMOS team. In this role, you will manage administrative and coordination tasks related to service scheduling, contractor/vendor engagement, purchase orders, and invoicing. Your work ensures that service requests both planned and ad hoc are executed safely, on time, and in compliance with company and client standards.
Key Responsibilities
- Support the AMOS team to schedule and coordinate both planned and ad-hoc service works, ensuring they are executed safely and punctually.
- Generate purchase orders for contractors and vendors based on accurate service case details.
- Prepare quotations and invoices for customers requiring unplanned services or repairs.
- Arrange onsite inductions for contractors through relevant portals (e.g. Rapid Global).
- Create and manage service cases in Oracle NetSuite.
- Engage and coordinate with local contractors or vendors as appropriate.
- Support the AMOS team in gathering required safety documentation and ensuring contractors with prior customer access permissions are processed correctly for any on-site work.
- Invoice vendors for warranty claims where applicable.
Candidate Qualifications
- Minimum of 2 years of relevant experience in an administrative or coordination role (experience in renewable energy or related industry preferred).
- Proficiency in Microsoft Office (especially Excel, Word) and mandatory experience with Oracle NetSuite.
- Strong organizational skills, attention to detail, and ability to juggle multiple tasks.
- Excellent stakeholder management capabilities, including a strong customer-service orientation.
- Experience in managing third-party contractors/vendors is a plus.
- No job hopping within the last year; only recent, relevant experience will be considered.
