Are you an experienced Interview Scheduling Specialist with expertise in US or UK recruitment? Do you enjoy coordinating with global stakeholders, managing complex interview calendars, and ensuring a seamless hiring experience?
We is looking for a highly organized and customer-focused professional to support global talent acquisition by coordinating interview schedules across multiple time zones and ensuring a smooth recruitment process from start to finish.
What You'll Do
As an Interview Scheduling Specialist, you'll be responsible for coordinating interviews efficiently while delivering an outstanding experience for candidates, recruiters, and hiring managers.
Interview Coordination
Schedule and coordinate phone, virtual, and in-person interviews across multiple time zones.
Manage interview calendars and ensure interviewer availability.
Coordinate with recruiters, hiring managers, and candidates to arrange interview schedules efficiently.
Send interview invitations, confirmations, reminders, and follow-up communications.
Stakeholder Management
Serve as the primary point of contact for interview scheduling queries from candidates, recruiters, and hiring managers.
Build strong working relationships with Talent Acquisition teams and business stakeholders.
Provide timely updates on interview schedules and any changes or delays.
Scheduling & Operations
Monitor interview pipelines to ensure timely scheduling and a positive candidate experience.
Resolve scheduling conflicts by identifying alternative time slots and coordinating with all parties.
Maintain accurate interview records and update scheduling systems regularly.
Ensure compliance with internal recruitment processes and service level agreements (SLAs).
Reporting & Administration
Generate scheduling reports and recruitment metrics using Microsoft Excel and other reporting tools.
Maintain organized documentation related to interview activities.
Support process improvement initiatives to enhance scheduling efficiency and recruiter productivity.
What We're Looking For
Required Qualifications
Bachelor's Degree in Human Resources, Business Administration, or a related discipline (preferred).
4–8 years of experience in Interview Scheduling or Recruitment Coordination.
Experience supporting US Recruitment, UK Recruitment, or other international recruitment processes.
Excellent verbal and written communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple interview schedules simultaneously in a fast-paced environment.
Customer-focused with a professional and positive approach.
Proficiency in Microsoft Office applications, including:
Excel
Outlook
Word
PowerPoint
Preferred Qualifications
Experience using HRIS or Applicant Tracking Systems (ATS) such as:
Workday
SAP SuccessFactors
BambooHR
Other recruitment platforms
Experience working in Shared Services or Global Business Services (GBS).
Familiarity with interview scheduling automation tools.
Basic understanding of US employment practices and recruitment compliance.
